Managing Your Dancers

Your single view for all studio dancers, registered and unregistered, with full management controls.

The Dancers tab is your single view for managing all dancers at your studio for this event. It combines your studio roster with event registration status, so you can see who is registered and who still needs to be added.

What You See

Each dancer in the list shows:

ColumnDescription
NameDancer's full name
AgeCurrent age. The "competition age" shown alongside it uses the event's configured method (as of Jan 1 of the event year, or as of the first day of the event)
EntriesNumber of entries this dancer is in for the event
Event StatusWhether they are registered for this event

Event Status badges:

  • Registered for this event: The dancer has been registered (by studio, by self, or by guardian)
  • Not registered: The dancer is on your studio roster but has not been registered for this event yet

How Dancers Get Registered for an Event

There are multiple routes a dancer can end up registered for your event. The Dancers tab reflects all of them:

1. Studio registers the dancer (most common)

The studio owner or teacher adds the dancer from the roster and completes registration.

2. Dancer self-registers

A dancer with a Kompdesk account can go to the event page and register themselves. If they are affiliated with your studio (linked via studio code), they will automatically appear as "Registered for this event" in your Dancers tab.

3. Guardian registers on behalf of dancer

A parent or guardian with a Kompdesk account can register their child for the event. If the child is linked to your studio, the registration will be reflected in your Dancers tab.

Note: When a dancer or guardian self-registers, the system automatically creates the studio-level registration link, so their status updates in your portal without any action needed from you.

Adding Dancers to the Event

From your roster:

  1. Find the dancer in the list (they will show "Not registered")
  2. Click the "Register" button next to their name
  3. Confirm registration
  4. Dancer fee is added to your studio fees

New dancer (not on roster):

  1. Click "Add Dancer" at the top
  2. Search for the dancer first; if they are not on Kompdesk yet, use "Create New" and fill in their details (name, date of birth, ID number)
  3. The dancer is added to your roster. They are not registered for the event yet: click "Register" next to their name to do that

After Entries Close

Your roster is yours across every event, so you can still add dancers to it and edit their details on this page after entries close. Registering a dancer for the event, removing a registration and removing a dancer from your studio are locked: the organiser makes those changes, so send them the dancer's details. A date of birth change that would move a dancer out of an entry in a closed event is refused for the same reason.

Removing a Dancer from the Event

Clicking "Remove from Event" opens a modal that lists every entry the dancer is still in. A dancer cannot be removed while they are in an entry. Deal with each entry first, one at a time:

EntryWhat you can do
SoloDelete the entry from the modal (it asks you to confirm)
GroupEither delete the whole entry (every dancer in it loses it, and the modal says how many), or edit the entry and take this dancer out. When you save, the age group and dancer count are recalculated from the dancers who remain

A dancer is never taken out of a group automatically. Once the list is empty, Remove from event becomes available and removes:

What Gets RemovedDetails
Fee recordsThe dancer's fee records on this registration
Check-in statusTheir check-in record
Portal accessTheir event registration. They will no longer be able to access the dancer portal for this event

Important details:

  • Every entry deletion and the removal itself are recorded in the organiser's Activity Log with your account
  • The dancer remains on your studio roster. They are only removed from this event
  • The dancer (or their guardian) will need to re-register to regain portal access

Stat Cards

At the top of the Dancers tab you'll see summary cards:

CardWhat It Shows
Total DancersAll dancers on your studio roster
Registered for EventDancers currently registered for this specific event
Total EntriesNumber of entries your studio has for the event

Search and Filter

  • Use the search bar to find dancers by name
  • The list shows both registered and unregistered dancers so you can quickly see who still needs to be added

Tips

  • Check the Dancers tab after your students or parents self-register. Their status updates automatically
  • "Remove from Event" only works once the dancer is in no entries, so clean up their entries first
  • You can register dancers at any time before the entries close date

Dancers Affiliated with Multiple Studios

A dancer can be affiliated with more than one studio and may have entries produced by different studios at the same event.

Example: Alex trains at three studios: Studio A (Contemporary), Studio B (Hip Hop), and Studio C (Ballet). For the same competition, Alex enters:

  • A contemporary solo produced by Studio A
  • A hip hop group routine produced by Studio B
  • A ballet solo produced by Studio C

This is fully supported. The dancer only needs one event registration (tied to their primary studio), but each studio can independently create entries that include that dancer. Each entry records which studio produced it.

What this means for you:

  • You will see all your dancers' entries in your portal, including ones your studio created
  • The event organiser can see which studio produced each entry from the Dancers tab
  • Fee calculations accumulate across all entries the dancer appears in, regardless of which studio created them
