This guide explains every action available to studios in the event portal, what it does, and what side effects it has.
Dancer Actions
Register Dancer for Event
Where: Dancers tab: click "Register" next to an unregistered dancer
What happens:
- Creates an
EventDancerRegistrationlinking the dancer to this event under your studio - Dancer registration fee is added to your studio's fee balance
- Dancer appears as "Registered for this event"
- If the dancer has a Kompdesk account, they gain portal access
Add New Dancer
Where: Dancers tab: click "Add Dancer"
What happens:
- Creates a new dancer profile on your studio roster, or links an existing Kompdesk dancer to it
- Does not register them for this event and adds no fee: click "Register" next to their name for that
- Dancer is available for all future events too
- Still available after entries close, because the roster belongs to your studio and not to one event. Registering the dancer for a closed event is done by the organiser, so send them the dancer's details
Remove Dancer from Event
Where: Dancers tab: click "Remove from Event" (trash icon)
What happens:
- The modal lists every entry the dancer is still in. The dancer cannot be removed until that list is empty.
- For each entry you choose: delete it (confirmed per entry; a group entry is deleted for every dancer in it), or for a group edit the entry and take the dancer out. The age group and dancer count are recalculated when the entry is saved.
- A dancer is never removed from a group entry automatically.
- When no entries remain, Remove from event deletes the dancer's fee records on this registration, their check-in record and their event registration (portal access).
- Every step is recorded in the Activity Log with your account.
The dancer remains on your studio roster. Only their event participation is removed. You can re-register them later.

- Assigns selected dancers to the entry

Submit Entry

What happens:

- Entry is sent to the organizer for approval
- Entry becomes visible in organizer's management view

What happens:
- Entry status changes to "Withdrawn"

Understanding Portal Access
Portal access for dancers is controlled by EventRegistration records:
| Scenario | Portal Access? |
|---|---|
| Studio registers dancer (dancer has account) | Yes |
| Studio registers dancer (dancer has no account) | No account = no portal |
| Dancer self-registers | Yes |
| Guardian registers dancer | Guardian has access; dancer too if they have an account |
| Dancer removed from event | No: must re-register |
| Dancer re-registered after removal | Yes (if they have an account) |
Key point: When you remove a dancer from an event, their portal access is revoked immediately. If they try to access the dancer portal, they will see a "Not Registered" message with an option to register again.
Fee Impact Summary
| Action | Fee Impact |
|---|---|
| Register dancer | Dancer registration fee added |
| Add entry | Entry fee added |
| Remove dancer | Dancer fees and entry fees removed |
| Withdraw entry | Entry fee remains (check refund policy) |
Tips
- Preview before removing: the removal confirmation modal shows everything that will be deleted
- Removal is permanent: there is no undo, so double-check before confirming
- Self-registration updates automatically: no need to manually sync when dancers or guardians register themselves
- Check fees after changes: your Fees tab reflects all additions and removals in real time
